Our Purpose Statement

Waxhaw Athletic Association: Our primary purpose is to teach and challenge players both on and off the field. Our sports are centered around family friendly ideals, plus offer fun and competitive sports for boys and girls to learn and enjoy. 

Our Membership Families & Athletes Will:

  • Encourage good sportsmanship from players, coaches, officials, and parents at every game and practice by demonstrating good sportsmanship themselves.
  • Place the emotional and physical well being of all players ahead of a personal desire to win. At no time will they physically or emotionally harm another individual, participant, or official.
  • Refrain from making derogatory remarks or using foul language to or about any referees, coaches, parents, players, and spectators.
  • Treat other players, parents, spectators, referees, and coaches with respect regardless of race, sex, creed or playing ability.
  • Ensure that family members, players, and coaches, respect the facilities of the Association, rental/leased property, and host Associations, equipment, and facilities amenities.
  • Remember that the game is for the children, not the adults.
  • Be knowledgeable of the rules and teach these rules to players, coaches, and families alike. When in doubt about a local rule or regulation, coaches will consult the official on the field in a calm demeanor and without emotion, to explain the rules for a better understanding.
  • Refrain from the use of drugs, alcohol and tobacco products at all Waxhaw Athletic Association or host Association sponsored events, games and practices.
  • Know that intimidating actions with children, parents, spectators, referees or coaches will not be tolerated.

Any behavior deemed unacceptable by the WAA Parents, Players, or Coaches Code of Conduct will be dealt with as provided by any Waxhaw Athletic Association sport Rules and/or Regulations or escalated to their governing bodies (NCYSA, Babe Ruth Baseball, etc.). 

Coaches, Parents, and Players understand that violation of their respective sports Code of Conduct, depending on the severity of the violation, any or all of the following consequences may occur: Verbal Warning, Removal from a Game/Field/Facility, Temporary Suspension from the Sport, or Expulsion from the Sport and Association.

Refund Policy

Waxhaw Athletic Association Refund Policy is as follows: After registration completion, we offer NO REFUNDS except for extraordinary circumstances such as season ending injury or family relocation outside of the immediate area at a prorated rate. Athletes who are eligible to "tryout" for School District sport at the same time as the registered sport, may request a refund only if the player is selected to join the school district team in conflict with the WAA sport PRIOR to the season. 


Weather Policy

 
Nesbit Park Policy per town of waxhaw
  • The Town of Waxhaw utilizes a highly accurate Perry Weather weather station located within H.C. Nesbit Park to provide up-to-the-minute weather reporting.
  • Eight (8) Mile radius of the weather station at the concession stand for Severe Weather & Lighting.
  • Siren and Message will be sent out over the intercom system
  • There will be a mandatory 30-minute wait after visual lightning or audible thunder.
  • The 30-minute clock restarts EVERY TIME A NEW LIGHTNING FLASH OR THUNDER SOUND IS HEARD. This is visible on our website in multiple locations.
  • The system will give the all-clear when does not detect any severe weather.
UCPS facilities WEATHER Policy
  • There is no siren at these fields which means we use visual and audible cues for weather.
  • If you HEAR Thunder or SEE Lightning, you must end practice or games and go to your cars. 
  • There will be a mandatory 30-minute wait after visual lightning or audible thunder.
  • The 30-minute clock restarts EVERY TIME A NEW LIGHTNING FLASH OR THUNDER SOUND IS HEARD. This is visible on our website in multiple locations.
  • Canceling a practice is at the coaches discretion once at the fields. Games are cancelled by the referee at the field only.

Athletic Facilities Pet Policy

Waxhaw Athletic Association sports are held at various locations within the Waxhaw Area. WAA is partnered with the Town of Waxhaw to provide youth sports for residents of Waxhaw, NC. Through this partnership, WAA utilizes H.C. Nesbit Park through a Field Usage Agreement providing most of the field maintenance for the park. Additionally, WAA utilizes UCPS sports facilities via Rentals and In-Kind services.

Each location has different rules when it comes to Pets & Service Animals. We have a General Rule of NO PETS at any location, but the Town of Waxhaw has specifically provided Rules for the use of H.C. Nesbit Park, which WAA must adhere to when it comes to pets. The Policy below provides Best Practices for all Town of Waxhaw & UCPS locations. Absolutely NO PETS are allowed within Coffey Courts for Volleyball or Basketball events.

It is important to be aware of and respect signage within individual parks, as specific rules may vary. Waxhaw Athletic Association kindly requests that pets stay home for all Practices, Training, and Games. 

General Leash Requirement:
  • Nesbit Park: All pets, primarily dogs, must be kept on a leash no longer than six (6) feet in length when within Waxhaw Parks & Recreation facilities, except within designated off-leash dog park areas.
  • All UCPS Sports Facilities have a strict No Pet Policy. 
Athletic Field and Play Area Restrictions:
  • Nesbit Park: Pets are strictly prohibited within the immediate perimeter of athletic fields, athletic courts, playgrounds, skate parks, and water features. Specifically pets must remain at least 20 feet from these areas.
  • This restriction is in place to ensure the safety and comfort of all park users, particularly athletes and children.
  • All UCPS Sports Facilities have a strict No Pet Policy. 
Service Animals:
  • Service animals, as defined by the Americans with Disabilities Act (ADA), are permitted in all areas where their handlers are allowed.
Owner Responsibility:
  • Pet owners are responsible for cleaning up after their pets. Waste must be properly disposed of in designated receptacles. WAA does not provide pet waste options. 
  • Pet owners are responsible for the behavior of their pets. Any pet exhibiting aggressive or disruptive behavior must be immediately removed from the park.
Enforcement:
  • Failure to comply with this pet policy may result in warnings or other appropriate action, including up to suspension of player(s) and member(s).

MEDIA RELEASE

Waxhaw Athletic Association is committed to promoting our sports, programs, and celebrating our young athletes. We often capture photos and videos during sporting events, such as practices, games, and camps. We would like your permission to use these photos and videos in our marketing materials, including brochures, our website (wxwathletics.org), email communications, and social media platforms (e.g., Facebook, Instagram).

Important Information:
  • No Names Used: Athletes will never be identified by name in any photos or videos used for publicity.
  • Parent Review: All media used for publicity is available for parent/guardian review upon request.
  • Right to Refuse: You have the right to request that any specific photograph or video of your child not be used for publicity. Please inform Waxhaw Athletic Association, or sports commissioners in writing if you wish to exercise this right, specifying the photo/video in question (if possible).
  • Non-Commercial Use: Any photos or videos used will be solely for the purpose of promoting Waxhaw Athletic Association, and/or individual sports, and will not be used for commercial gain. No compensation will be provided for the use of these materials.
  • Ownership: All photographs and videos shall be the property of Waxhaw Athletic Association, which has the right to reproduce, distribute, and use these materials as deemed necessary.

Online transaction Processing Fees

Waxhaw Athletic Association  utilizes a platform called SportsEngine for our website, registrations, background checks, SafeSport Training, Memberships, and Membership database. This fee is charged by SportsEngine to process payments on a transaction basis.

The "Processing Fee" is the total cost charged per online transaction. This consists of two(2) fees:

  • Percentage Fee - Charged once, based on the order amount.
  • Transaction Fee - A flat dollar amount charged based on the number of transactions.
  • The SportsEngine Processing Fee for WAA is 3.25% + $1.00 per transaction.
  • Payment Plans - The Processings Fee will be charged to the FIRST payment with the number of transactions captured dollar multiples. For example, four(4) payment plan processing fee would equal 3.25% of the total + $4.00. Each subsequent payment would be "fee free".

Town of Waxhaw Hold Harmless Waiver

H.C. Nesbit Park users shall indemnify and hold harmless the Town of Waxhaw, its agents, volunteers, elected officials and employees from and against all losses, costs, damages, expense, and liability caused by an accident or other occurrence in bodily injury, including death, sickness and disease to any persons, or damage or destruction to property, real or personal, arising directly or indirectly from operations, products or services rendered at this facility.

H.C. Nesbit Park users agrees to waiver, release or discharge the Town of Waxhaw, its agents, volunteers, elected officials and employees, of and from any and all claims, demands, cost, liability and cause of action whatsoever that may arise as a result of participation in this facility including but not limited to, any claims, course of action, liability, damages, demands and cost related to injury to the benefit of Town and shall bind Applicant along with its employees, heirs, legal representatives, assigns and successors in interest of the Applicant or any member thereof.

During your usage of a Town of Waxhaw Park Facility, you are liable for any damage done to the property. These expenses may be greater than the deposit amount that you may have paid. Once an inspection has been done, you will be notified of the repair cost. The responsible party must be 21 or older.
